Digital Download Delivery: What to Put in Your Buyer Instruction PDF

What happens when a buyer loves your product mockup, pays, and then cannot work out which file to open?

A short instruction PDF can bridge that gap. It should tell buyers what they received, how to access it, what they need to use it, and where to get help. Start with the first action rather than a long thank-you message.

1. Match the instructions to the actual purchase

List the files and their purpose. For a hypothetical printable planning pack, that could be a weekly PDF, a daily PDF and this instruction sheet. For an editable template, explain the access link and exactly which parts are editable. Do not describe an editable product as a finished printable, or promise compatibility you have not tested.

If you are still deciding what to make, begin with choosing a small, useful digital product. Delivery instructions work best when the product solves a clear task.

2. Put the opening steps at the top

Use numbered actions: download the purchased files, locate the correct file, open it in the required application, then follow the relevant editing or printing steps. Describe the path your buyer actually receives rather than copying instructions from another seller.

For Etsy purchases, the official guidance says buyers currently need a mobile browser or computer to download digital purchases; downloads are not available through the Etsy app. Account holders can use Purchases, while guest buyers receive a link in their receipt email. 3. Explain formats without jargon

A PDF is not automatically fillable. A template is not automatically compatible with every device. If you provide different page sizes, explain which file corresponds to each size.

4. Add an accurate access and licence section

State what buyers may do with your original product, using terms you are entitled to offer. Distinguish permission to use a finished design from permission to resell your source files. Review third-party asset licences separately; your own instructions cannot grant rights you do not have.

If a delivery link opens an online resource, test it from a separate buyer-like session. Confirm that it does not reveal private folders or allow unwanted changes to your original. Explain any account requirement before purchase as well as in the instruction PDF.

5. Prepare the upload files

Etsy currently allows up to five files per digital listing, with a maximum of 20MB per file. PDF and ZIP are among its supported formats. Buyers see the uploaded filenames, so choose clear names before uploading. See Etsy’s digital listing requirements. These limits are platform-specific, not a rule for every shop.

Use names such as Weekly-Planner-A4.pdf rather than Final-v7-NEW.pdf. Keep your support instructions inside the download so a buyer who saves it can still find them later.

6. Run a complete buyer test

Open every delivered file, follow every link and read the instructions on a phone. For printable products, print a representative page. For editable products, verify the buyer access process. Ask someone unfamiliar with the pack to follow the steps without coaching.

Then compare your delivery with the promises in your Etsy listing images. A clear gallery cannot compensate for a missing file.

A simple instruction-page example

Hypothetical wording for a tested printable pack: “Start with Weekly-Planner-A4.pdf. Save it to your device and open it in a PDF reader. This version is designed for printing and does not contain fillable fields. Check the page-size settings in your print dialogue. For help, contact the shop through your order and include the filename and problem; never send passwords.” Adapt every sentence to your real product.

Does the instruction PDF replace the product? No. Deliver what the listing promises and use the instructions to help buyers access and use it.

Should I include software prices? Only when necessary and verified. State essential account or paid-feature requirements clearly; avoid undated prices.

Can I promise instant access? Describe the actual delivery process. Payment processing or a made-to-order workflow can affect timing.
